West Ottawa Soccer Club – Registration Policy

West Ottawa Soccer Club (WOSC) is committed to delivering quality soccer programming for all participants. This Registration Policy outlines the terms and conditions associated with registering for any WOSC program.
Club Registrations
- All participants must register through the official WOSC registration platform.
- Full payment is required at the time of registration unless otherwise specified.
- All online registration will be paid by credit card via WOSC registration platform. For all other payment methods please contact our Club Administrator.
- Registration is not complete until payment is received and all required forms and waivers have been submitted.
- Every player is responsible for their own registration and payment of fees.
- Players joining mid-season may be eligible for a pro-rated fee at the Club’s discretion.
- Players are only officially registered with governing bodies after completing WOSC registration. Late registration may impact league eligibility.
- Due to limited space, some programs may have waitlists — early registration is encouraged.
- Program credits may be offered for justified circumstances (e.g. long-term injury or program transfer) that do not impact team integrity. Contact the Club Administrator for details.
No Refunds Policy
- In accordance with Ontario’s Consumer Protection Act, participants may cancel their registration within 10 days of completing payment for a full refund. After this period, all fees are non-refundable.
- This policy applies to all WOSC programs including recreational, competitive, camps, clinics, and academies.
- By registering, participants acknowledge and agree to this policy.
- Club Fees cover general participation, coaching, administration, and operations. Team Fees cover tournaments, travel, and extras.
- No refunds after acceptance of a team position or in cases including:
- Season-ending injury after listed cutoff dates (April 15th, July 15th, Sept 15th, Jan 15th, etc.)
- Player withdrawal after accepting a team placement.
- Transfer requests to another club post-registration.
- Disciplinary removal or unpaid balances.
- Sessions cancelled due to weather, facility, or safety issues.
Exceptions — Refunds or Credits
A) High Performance and Competitive Programs
- Refunds/credits reviewed if a player is not selected and no suitable alternative is available.
- Partial credits for verified season-ending injuries before May 1st (Showcase) or July 1st (OPDL).
- All refunds/credits subject to a $40 administration fee.
B) Youth & Adult Recreational Leagues, Programs, and Camps
- Refunds reviewed if a player is not selected for a competitive team and no alternative recreational placement is available.
- Partial credits for verified injuries before July 15th (Summer), Jan 15th (Winter), Apr 15th (Spring), Sept 15th (Fall).
- Subject to a $40 administration fee.
- Requests must be submitted at least 14 days before program start.
All exceptions are determined at the sole discretion of the Executive Director. Other requests may be reviewed on merit.
Player Releases / Transfers
- Competitive and High Performance players will not be released until all Club and Team Fees are paid in full.
- Returned cheques are subject to a $40 NSF fee.
Outstanding Fines
- Players cannot be registered for league play if fines or fees are outstanding.
- Any fines from governing bodies must be paid to WOSC within 10 days. WOSC does not assume responsibility for fines incurred by players or teams.
- All returned cheques are subject to a $40 NSF administration fee.
